Tested positive for COVID? Remember to update CGPAAS

The COVID-19 pandemic continues to be a very dynamic time in history affecting everyone in one way or another. In order for us as a service to maintain a Ready, Relevant, and Responsive workforce, especially in light of the Delta variant, we need to maintain our big picture status of our members during this ongoing pandemic.

What does this mean for you?

The Coast Guard needs to be able to tell what your status is, and you can help with that determination by updating the Coast Guard Personnel Accountability and Assessment System (CG PAAS) accordingly. If you have tested positive for COVID-19, it is your responsibility to update your status. If you are vaccinated and have tested positive for COVID-19, you need to update your status in CG PAAS. If you are unvaccinated and have tested positive for COVID-19, you need to update your status in CG PAAS.

Why is this important?

Accurate and timely tracking of personnel status, to include both work and personal status, will aid strategic-level decision making, resource allocation, and mission advocacy. CG PAAS is our tool – and has been for a number of years – to accurately report personnel status in this dynamic time.

How to update your status

You can report your status through the CGPAAS website without being connected to the Coast Guard network and without your CAC. You are encouraged to add the following telephone and short message service (SMS) numbers to your contacts list in order to easily identify calls and SMS messages from the Alert Warning System (AWS):

  • Phone numbers:
    • (650) 685-3000,
    • (703) 857-7155,
    • (833) 391-5700,
    • (833) 405-4260 and
    • (972) 454-1990.
  • SMS:
    • 24639,
    • 28462,
    • 54292 and
    • 73101.

The Coast Guard does not plan to issue AWS alerts for COVID-19 CGPAAS accountability, but may if it appears that CGPAAS data needs to be updated.

Commanders and commanding officers may always choose to use AWS to convey CGPAAS update requirements to units within their CGPAAS hierarchy.

Personal Status Definitions

You should use the following definitions when updating your COVID-19 status in CG PAAS:

  • Unaffected: You have not been diagnosed with COVID-19, and have not knowingly been exposed to someone who has been diagnosed. If you were previously isolating while awaiting your test result, and a health care provider determined that you do not have COVID-19, you should return to unaffected status. If you are in an area where there is a local, state, or federal stay-at-home order or any travel-related restriction of movement (ROM), you should report as “Unaffected.”
  • Quarantined: This occurs if you have been exposed to COVID-19 and have been separated from the general population. You may be symptomatic and/or awaiting test results, but have not yet tested positive or received a clinical diagnosis for COVID-19. If you do not test positive or receive a clinical diagnosis, you will revert to “Unaffected” at conclusion of your quarantine period.
  • Isolated: If you have both:
    • Been confirmed COVID-19 positive via a COVID-19 test or clinically diagnosed with COVID-19 by a healthcare professional, and
    • Separated from others who have not been exposed.

Then you will need to updated your status as: “Confirmed via Positive test

  • Hospitalized: If you have been admitted to the hospital due to COVID-19.
  • Released: If you are affected, diagnosed with COVID-19 by medical, and you have recovered and been released from either hospitalized or isolation status. However, this status does NOT apply to you if you are released from quarantine. Your updated status will be: “Confirmed via Positive test.

Work Definitions:

Please use the following to update your work status:

  • Unknown: Work status is unknown or has not been updated.
  • Working On-Site: Working at regular work site.
  • Working Off-Site: Working, but not at regular work site. You will need to enter a note specifying “teleworking from home,” “teleworking and staying with extended family in [name your location],” etc.
  • Not Working: This means that you are not working and also requires a note entry such as: “at home providing childcare,” “isolated under medical treatment,” “in hospital,” “unable to telework,” etc.

Reporting Requirements:

Coast Guard active duty and reserve members on active duty orders are required to report both personal and work statuses. Coast Guard civilian members are required to report work status, and are encouraged but not required to report personal status. Reserve personnel in a drilling status are encouraged to report personal status. Dependent status reporting is not required. Changes in a required reporting status must be updated in CGPAAS by the member or by the unit CGPAAS commanding officer representative (COR).

CORs should perform a weekly CGPAAS audit to verify all members comply with reporting requirements. Commands are responsible to ensure CORs regularly review CGPAAS data from units within their hierarchy to ensure data update and validation is being performed regularly.

The Personnel Accountability System (PAS) Policy, COMDTINST 3006.4 (series), requires that all active duty, reserve, and civilian members provide and keep current personal contact information for the PAS. Maintaining current contact information is vital to operational readiness. The PAS currently does not yet require accountability for non-appropriated funds (NAF), contractors (CTR), or Auxiliarist (AUX) personnel. If you fall into one of these categories and would like to receive alerts or notifications through AWS, you may voluntarily request an AWS end user account via CGFixIt. After your request is processed by CGFixIt, you will receive a link to log on to AWS Self-Service to enter your personal contact information into AWS.
