Setup a Training Program

Introduction:

This section will guide you through the process to set up a training program, identify the courses in the program, select if they are pipeline training, and associate positions to the program. (We will be adding a report in the future.)

We present each process in two ways. First there is the summary information for the experienced user, someone who is comfortable navigating around the PeopleSoft environment. The summary outlines the steps, without going into details about what you see or how to navigate. For someone with less familiarity with PeopleSoft, we provide detailed instructions following the summary. These instructions take you through the steps, provide screen shots to help you identify the processes, and give other informative information.

Before you begin:

If possible, have the program code, the business unit, any course codes, and the position number(s).

Getting started:

Open PeopleSoft 8. Experienced computer users follow these steps:

  1. Select from the home page, select Develop Workforce, Administer Training (GBL), Setup, and Training Program Table.

  2. To update an existing program, enter the training program code and press Search. To add a new program, press the Add a New Value link and enter the training program code. Be sure to use the code key located in the detailed instructions, step 2.

  3. Enter or edit the training program information and save the panel.

  4. The next step is to connect the positions that need to have the training. Return to the Develop Workforce, Administer Training (GBL), Setup menu and select Position/Training Pgm XRef. Enter the position number or training program and press Search. Click on the position returned in the search list.

  5. Enter or edit the training program information for the position.

  6. Save the panel when complete.

Detailed Directions:

Step 1

Select from the home page, select Develop Workforce, Administer Training (GBL), Setup, and Training Program Table.

Enter the training program code and press Search. Available program codes will be returned. Choose the course you want to update from the list and click on it. If you know only part of the course code, use the descriptions returned to help you identify which code you need.

Click on the course you want to update and go to step 3. If you need to add a new training program, press the Add a New Value link and go to step 2.

 Step 2

When adding a new value, you generally have the first four characters for the program code. The final number in the code is dependent on the following information:

 If possible, identify the last digit of the program code and use it when creating a new training program. You will type the code into the following panel and press the Add button.

If you are entering a new program for C-101 training on a 399’ WMEC, you will identify "E" as the list digit using WMEC Other from the table above. Your training program code will be C101E.

Step 3

Adding or updating a training program will bring you to this panel. Enter or update the information, as needed.

If you need to add additional courses to the training program, press the plus button. A new row is added.

Enter the sequence number, the course code, and check if the course is "required." "Required" courses become pipeline training.

Step 4

Save the panel when complete.

Step 5

The next step is to connect the positions that need to have the training. Return to the Develop Workforce, Administer Training (GBL), Setup menu and select Position/Training Pgm XRef.

You can search by position number or training program. We use a position number above. Press the Search button.

Step 6

Any training programs identified for this position are listed below.

Press the plus button to add a row and the minus button to delete a row.

Step 7

Press Save when complete.
