Change Email Address

Make sure your workstation is setup to allow email from Direct-Access. Check your Junk email Option, in MS Outlook, by going to Actions>Junk Email>Junk Email Options.  Make sure the box next to "Permanently delete Junk Email" is NOT checked.  Then, add ucgp1pp@hostingmail.corio.com to your Safe Senders list.

 

 

Introduction

This section provides the procedure for entering and updating your email address in Direct- Access. You must have a business email address in the system in order to take advantage of the self-service password reset feature or to have reports delivered via email. The system also allows you to store personal email addresses in addition to the business email address.

 

Entering or changing your business email address, using this self-service procedure, is the only way to update the email address in your user profile.

Policy for "Business" Email Addresses.

All active duty and reserve military personnel, civilian employees and members of the Coast Guard Auxiliary are required to enter their primary email address in PeopleSoft.

 

Per DHS and Coast Guard information security policies only  the email extensions (domains) of .mil, .gov, and .edu may be used in the Business Email Address field of DA.

 

The use Internet webmail (Gmail, Yahoo, AOL, etc.) or other personal email account is not authorized in the Business Email Address field because transmission of  Personally Identifiable Information (PII) and Sensitive Personally Identifiable Information (SPII) over the internet is not permitted. You can, and are encouraged to, enter your personal email address in the system using the "Home" email address type.

 

CG personnel shall continue to remain cognizant of Personally Identifiable Information (PII) and Sensitive Personally Identifiable Information (SPII), particularly data extracts, while utilizing DA email functionality. All users shall adhere to guidance set forth in the Handbook for Safeguarding Sensitive Personally Identifiable Information at DHS (DHS MD 4300A).

 

Users experiencing difficulty updating their DA Business Email address should contact their Servicing Personnel Office (SPO) for assistance. SPOs have the ability to update the Business Address field via the Email Address link on the DA Portal Home Page. After the email address is updated, the user can request a new password via the forgotten password link on the DA home page.

Procedure

Start Direct-Access,  sign in and follow these steps to change enter or update your email address.

 

Note: You cannot delete a Business Email address once it has been entered. However, you can change it.

  • The "Home" and "Other" Email address types may be deleted if desired. Click the Delete button next to the address you want to delete.

From the Employee Self Service menu, click on More at the bottom of the Tasks list.

The email address page will display.

In the Email Type column, click on the drop-down arrow and choose Business. You may enter other email address types also (Home and/or Other), but the Business email address type is mandatory and must be entered before any other type of email address.

 

The business email address is used for sending forgotten password resets, orders, drill notifications and work list entries. Per DHS and Coast Guard information security policies, only  the email extensions (domains) of .mil, .gov, and .edu may be used in the Business Email Address field of DA.

Type your email address in the Email Address column.

Mark the checkbox in the Preferred Address column.

Click the "Save" button or continue with the remaining steps to add a personal email address.

You can, and are encouraged to, enter your personal email address in the system using the "Home" email address type.

To add a personal email address:

A. Click the "Add Email Address" button.

B. Click the drop-down arrow in the Email Type column and choose "Home" or "Other".

C. Enter your personal Email address.

d. If you want to add another email address, click the "Add Email Address" button and repeat steps 6.A, 6.B and 6.C. Proceed to step 7 when finished.
