What do I do if I cancel, drop, or can't complete a course?

You have to do two things:

  • officially withdraw/disenroll from the course through the school and

  • advise the Coast Guard Institute to cancel the TA for the course you're no longer taking.

Every school has its own rules about how long you can wait to withdraw and get a full refund of  your tuition.  Make sure you withdraw within that time period or you'll have to repay the Coast Guard for the amount not refunded.

If you withdraw within the full-refund time period, immediately ask your ESO to submit a request to the Institute to cancel your authorization.

If there's more than one course listed on the authorization and you don't withdraw from all of them, let your ESO know which course(s) you withdrew from.

What if I had to withdraw for reasons I couldn't control and missed the full-refund deadline?

You must submit to the Institute a written request for a waiver of the repayment requirement, endorsed by your command, using the "Application for Tuition Assistance Waiver" (form CG-4147-1).

Your command's endorsement must verify the reasons you list and may amplify on the information you provided.

What do I do if I decide to take a course other than the one I received a TA authorization for?

Provide the information that's changed to your ESO and ask him/her to submit a change request to the Institute.

You'll receive a new TA authorization with the correct information on it.

What do I do if the authorization has the wrong dates for the course on it?

Provide the information that's changed to your ESO and ask him/her to submit a change request to the Institute.

You’ll receive a new TA authorization with the correct information on it.

What do I do if I want to add one or more additional courses?

Submit a new TA request for the additional course(s).

What do I do when I finish a course?

After you finish a course and have received your grade, make sure your SSN is on it and provide the grade report to your ESO (preferably scanned to a PDF file).

Some schools will automatically send your final grade to the Navy (which acts as the Coast Guard’s agent for TA payments). However, it’s your responsibility to make sure grades are sent. Because the Navy sometimes Navy loses them, it’s a good idea to get into the habit of providing them to the Institute through your ESO, even if your school says it will send them to the Navy.

What happens if I don't send in my grades or if I forget to let the Institute know I dropped a course?

A month or two after the course completion date, you will get a form letter from the Navy demanding payment for whatever courses its computer shows you having taken. This happens even if your school doesn’t send your authorization and a bill to the Navy for payment.
 
If you haven’t responded within thirty days after that letter is sent, another letter will be sent to your command saying you owe money for the course(s) listed on the letter.
 
If you fail to respond within thirty days after that letter is sent, the Navy gives it to a collection agency.

How should I respond if I get a letter from the Navy telling me to repay TA used to pay for a course I took?

If you took and passed your course(s), immediately provide your grades to the Institute as described above.
 
If you withdrew within the full-refund period, but failed to let the Institute know to cancel the TA, follow the procedures described above.
 
If you withdrew after the full-refund period ended, you will have to pay whatever amount is shown on the letter (see below).

How do I repay the Coast Guard?

Send to the Navy a copy of the TA authorization that shows the course you're paying for plus a money order for the full amount. The address is:
